Who can use this?
  • Billing management is available to all plans.
  • Only the Account Owner or users with the Admin role can change plans, update payment methods, or cancel subscriptions.
Gallabox is billed on a subscription model — you pay for your plan monthly or annually. All plans include unlimited conversations (WhatsApp messages are charged per message by category), AI credits (varying by plan), and access to the features included in your plan.

Plan Overview

If you signed up earlier, you may be on a legacy plan (Starter, Team, Growth, or Scale). These are grandfathered — no longer sold, but they remain active for existing customers. Contact support to check your plan details or migrate to a current plan.

Billing Cycle

Gallabox bills you on a monthly or annual cycle:
  • Monthly billing: Charged on the same date each month (e.g., June 5 → July 5)
  • Annual billing: Charged once per year (e.g., June 5, 2026 → June 5, 2027) — typically includes a discount vs monthly
What’s included in your plan fee:
  • Access to all features in your plan
  • Unlimited team members (all plans)
  • Unlimited conversations processed (you pay per message by category, separate from plan fee)
  • AI credits (varying by plan)
  • Support (email, chat — priority for Advanced)
Paid separately (not on your plan invoice):
  • Meta’s per-message WhatsApp charges (based on template category — Marketing, Utility, or Authentication) — deducted from your prepaid Message Credits wallet, not billed as a separate invoice line
  • AI credit top-ups (if you exceed your monthly allocation)

Managing Your Subscription

Viewing your current plan

Go to Settings → Billing → Current Plan This shows:
  • Your current plan (Basic, Essential, or Advanced)
  • Billing cycle (monthly or annual)
  • Next billing date
  • Monthly/yearly cost
  • Included features

Viewing invoices

Go to Settings → Billing → Invoices All invoices are available as PDFs:
  • Download any past invoice
  • Invoice shows: plan fee, per-message WhatsApp charges, AI credits, taxes, total
  • invoices are also sent to your billing email automatically

Updating payment method

  1. Go to Settings → Billing → Payment Method
  2. Click Update payment method
  3. Enter your new card details (Stripe handles payment processing)
  4. Click Save — the new card is used for all future charges
Accepted payment methods: Credit/debit cards (Visa, Mastercard, Amex), bank transfers (for annual plans on request)

Upgrading your plan

  1. Go to Settings → Billing → Change Plan
  2. Select the new plan (Essential or Advanced)
  3. Choose billing cycle (monthly or annual)
  4. Review the price change — you’ll see a prorated charge for the remainder of the current billing period
  5. Click Upgrade → confirmation → plan is upgraded immediately
Upgrade pricing: You’re only charged for the remaining days in your current billing period (prorated), then the new plan rate applies from the next billing date. Worked example: if you upgrade from Essential (₹X/month) to Advanced (₹Y/month) on day 10 of a 30-day cycle, you’re charged the difference for the remaining 20 days: (Y − X) × 20 ÷ 30. What happens to your data/settings when upgrading:
  • Nothing is lost — all existing flows, integrations, and data are preserved
  • New features are immediately available

Downgrading your plan

  1. Go to Settings → Billing → Change Plan
  2. Select a lower plan
  3. Review the change — you’ll see what features will be lost
  4. Click Downgrade → confirmation
Downgrade timing: The downgrade takes effect at the end of your current billing period (no prorated refund). You keep access to higher-plan features until then. What to check before downgrading:
  • Bot flows using nodes from the higher plan will stop working (e.g., if you use API Call node and downgrade to Basic, those nodes won’t execute)
  • Integrations unique to the higher plan will stop working
  • AI credit allocation will decrease

Canceling your subscription

  1. Go to Settings → Billing → Cancel Subscription
  2. Select a reason (helps us improve)
  3. Review what happens: data retention, access cutoff date
  4. Click Confirm Cancellation
You’ll receive a confirmation email from our billing partner, Chargebee — this is a legitimate Gallabox email, even though the branding is Chargebee’s. Invoice and payment-method screens are also Chargebee-hosted. What happens when you cancel:
  • You keep access to Gallabox until the end of your current billing period
  • After the billing period ends, your account moves to a read-only state (no new conversations, no bot flows)
  • Data is retained for 30 days after cancellation (contact support to export before deletion)
  • You can reactivate at any time — data is preserved during the retention period
Note: You can cancel annual plans early — contact Gallabox support for a prorated refund.

Team Billing

All Gallabox plans include unlimited team members — you’re not charged per user. Everyone in your team can have access to Gallabox at no additional cost. Team roles:
  • Owner — full account control, including billing and subscription changes
  • Admin — can manage billing, settings, and all features
  • Member — can manage conversations and use assigned features
  • Custom roles — you can also create custom roles with specific permissions under Settings → Team → Roles

GST and TDS (India)

  • GST is applied to invoices based on your billing address and itemized on each invoice. If a credit note or invoice isn’t reflected in the GST portal, contact support with the invoice number.
  • TDS: if your business deducts TDS on payments to Gallabox, contact support to share the TDS certificate and request acknowledgment or a refund claim for the deducted amount.
  • If you have a tax exemption certificate, contact support to update your billing profile.

FAQs

Yes — go to Settings → Billing → Change Billing Cycle → select Annual. You’ll see the annual price (typically discounted vs 12 × monthly) and be charged upfront for the year. The change takes effect at the start of your next billing cycle.
Bot flows continue to work through the end of your billing period. After that, flows using nodes exclusive to the higher plan (e.g., API Call on Essential) will stop executing — the flow will error at that node. Before downgrading, review your flows and replace higher-plan nodes with equivalent lower-plan alternatives, or remove them.
First, check your invoice breakdown in Settings → Billing → Invoices — it itemizes plan fee, WhatsApp message charges, and AI credits separately, which often explains an unexpected total. If it still looks wrong, contact Gallabox support with your invoice number and an explanation of the discrepancy. We investigate and issue refunds for incorrect charges within 5-7 business days.
Monthly plans are non-refundable once charged. Annual plans may be eligible for a prorated refund if you cancel early — contact support. If you believe there’s a billing error, contact support for a full investigation.
