Note: Viewing and exporting phone numbers requires the Can Read PII permission. Without it, phone numbers appear masked and the Export button is hidden — contact your Gallabox Admin to check your permissions.
Before You Start
- Owner or Admin role in Gallabox (or a role with the relevant permissions) — Dashboard access with Template Analytics requires these permissions.
- At least one template sent — Analytics only shows data for templates that have been used. A newly created or pending template will not appear in the template filter.
- A WhatsApp channel selected — the Channel filter is required. Analytics are per WhatsApp channel, not across all channels at once.
Getting to Template Analytics
- Go to Analytics → Dashboard in the left navigation.
- Click the Template Analytics tab at the top of the Dashboard.
What Template Analytics Shows
Template Analytics breaks down performance across every template message sent from your account. The main view shows aggregate metrics for the selected date range, channel, and filters.Recipient Metrics
Each metric shows a count and a percentage of effective recipients. “Not in WhatsApp” and “Frequency Limit” counts are shown separately and are excluded from the effective recipient base — the same calculation used in Broadcast Analytics.
Trend Chart
The trend chart plots Delivered and Engaged counts over the selected date range. Use this to:- Spot day-of-week delivery patterns
- Identify drops in engagement after content changes
- Compare performance across time periods by adjusting the date filter
Source Distribution
Source distribution shows how your templates are being sent:
Each source shows a count and a percentage of total sends. Use this to understand whether your templates are being used primarily for bulk outreach (Broadcast), automation (Sequence/Flow), or ad hoc agent sends (Inbox).
Non-Delivery Reasons Breakdown
The non-delivery section breaks down why messages were not delivered:
Use this breakdown to identify data quality issues (high “Not in WhatsApp” counts) or contact fatigue problems (high “Frequency Limit” counts).

Use the WhatsApp channel selector, date range, and Filter modal (Template, Category, Source) at the top of Template Analytics to narrow the data.Date Range

Multi-select, searchable dropdown. Select one or more templates to view analytics for those templates only. Useful for comparing performance across similar templates or isolating a specific campaign’s results.By Category

Channel (Required)
Select the WhatsApp channel you want to view analytics for. This filter is required — analytics are not aggregated across all channels. If you manage multiple WhatsApp numbers, you need to check each channel separately.Exporting Template Logs
You can download a CSV of template message logs for the current filter selection.- Apply your filters (date range, template, category, source, channel).
- Click Export at the top right of the Template Analytics view.
- Gallabox generates the CSV and triggers a download.
Export History
Exports are saved for approximately 7 days. Your recent exports are listed in the export history view with the date generated and the filter parameters used. Download any export from this list within the 7-day window. After 7 days, exports are no longer available and must be regenerated.How to Confirm It’s Working
After applying filters, verify you’re seeing the expected data:- The Channel filter shows the correct WhatsApp number.
- Total Recipients matches approximately what you’d expect from recent broadcasts or API sends.
- The Trend Chart shows activity on days you know templates were sent.
- Source distribution reflects the send methods you’ve used (if you only send via Broadcast, the API slice should be near zero).

Why is my delivery rate only 60% — did something go wrong with my broadcast?
A 60% delivery rate is not unusual if your contact list includes numbers that are not on WhatsApp or are inactive. Check the Not in WhatsApp count in the non-delivery breakdown. If that count is high, the issue is list quality, not a platform problem. Filter your contacts by WhatsApp-verified numbers before your next broadcast to improve delivery rates.

What counts as 'Engaged'? I want to know if people actually clicked my link.
“Engaged” includes contacts who tapped a Quick Reply button, clicked a call-to-action button (like a website link), or replied to the template message. Link click tracking depends on whether WhatsApp reports the interaction back via the API — not all link taps are confirmed as engaged. Button taps on Quick Reply and CTA buttons are the most reliable engagement signal.

Template Analytics does not allow a date range that starts before 31 March 2026. Select a supported date range from that date onward.
Why is the 'Effective Recipients' number different from 'Total Recipients'?
Why is the 'Effective Recipients' number different from 'Total Recipients'?
Effective Recipients excludes contacts classified as “Not in WhatsApp” from the total. This gives you a more accurate percentage base — a 90% delivery rate calculated against effective recipients means 90% of people who actually have WhatsApp received your message, not 90% of everyone in your contact list (including inactive numbers). This matches the same calculation used in Broadcast Analytics.

My export shows different numbers than the dashboard — which one is correct?
The CSV export includes raw log-level data that may not apply the same aggregation logic as the dashboard view. The dashboard shows de-duplicated recipient counts; the export includes every send event. If a template was sent twice to the same contact within the date range, the export shows both rows but the dashboard may count the contact once. For reporting, use the dashboard metrics. For debugging individual send events, use the export.
