A connector is a bot flow node that performs one specific action in an external tool — Create Payment Link in Razorpay, Create or Update Lead in Zoho CRM, Add New Row in Google Sheets. You pick the action first, then attach a connection (your authenticated account) to it. Every connector node has a success and a failure branch, so the flow can respond to either outcome.

How Connectors Work

Open Connections

In the bot builder side panel, open the Connections category — or start typing the connector name to find it. You can also click the + on the start block.

Pick the action

Click the connector, then choose the action you want (for example, Shopify → Create Draft Order). Connectors are always configured action-first — the action determines which fields you’ll fill in.

Create or select a connection

Under Add New Connection, name the connection and authenticate. Or pick one you’ve already made under Select Existing Connection and click Connect.

Map the fields

Fill the action’s mandatory fields, then any optional ones. Each field takes a static value or a flow variable — for example {{recipient.phone}} into Shopify’s Phone field. Click Save.

Branch on the result

Connect the node’s success (green) and failure (red) outputs to the next steps, so the customer gets a reply either way.
One connection can be reused across many nodes and flows, and you can create several connections for the same connector (for example, two Shopify stores). You pick which one to use each time you configure an action.
A connector can only send values that are already stored in variables, so place it after the Ask nodes that capture them. Google Sheets is the exception worth planning around: putting it early lets you fetch reference data (pricing, order status, eligibility) and branch on it before asking anything else.

Create Order and Create Draft Order also accept Financial Status, Tag, Note, Source Name, and full billing and shipping address fields (Address, City, State, Country, Pin). Create Draft Order additionally accepts Discount Type (Percentage or Fixed Amount), Discount Value, Discount Title, and Discount Description.
Create Order only works in an order-based chat flow — one where the customer’s cart arrives as {{intent.order}}.

Get your Shopify API key and password

  1. In your Shopify admin, go to Apps → scroll down → Develop apps for your store
  2. Click Create an app, name it Gallabox, and click Create app
  3. Open API credentials → under Access tokens, click Configure Admin API access
  4. Tick all Read_… and Write_… permissions, then click Save app
  5. Return to API credentials — your API Key and Secret Key (the password) are shown here

Configure the Shopify connector

  1. In Connections, select Shopify
  2. Choose an action — Replace Order Tag, Create Order, Create Draft Order, or Complete Draft Order
  3. Under Add New Connection, enter your API Key, Password, and Shopify Subdomain, then click Create Connection
  4. Map each field to a variable or static value and click Save

WooCommerce

Available on Basic, Essential, and Advanced plans.

Use this to pass data into a meta field your store already relies on — payment gateway, WooCommerce Subscriptions, or shipment tracking. You can also push a contact’s Gallabox tags as order meta data.

Configure the WooCommerce connector

  1. In Connections, select WooCommerce
  2. Click the action Add Meta Data
  3. Under Add New Connection, enter your Consumer Key, Consumer Secret, and WooShop Subdomain, then create the connection Generate the Consumer Key and Secret in WordPress under WooCommerce → Settings → Advanced → REST API
  4. Set the Order Id to the variable holding the order, add your Key and Value, and click Save

Razorpay

Available on Basic, Essential, and Advanced plans.

Configure the Razorpay connector

  1. In Connections, select Razorpay
  2. Click the action Create Payment Link
  3. Name the connection and click Create New Connection — you’ll be prompted to sign in to Razorpay
  4. Once created, find it under Select Existing Connection and click Choose
  5. Set the Amount (a value or a variable), pick the Currency, optionally allow partial payments, and select the variable to store the payment link. Click Save
The connector only generates the link — it doesn’t send it. Add a Send node after the connector to deliver the stored payment link to the customer.

PhonePe

Available on Basic, Essential, and Advanced plans.

Configure the PhonePe connector

  1. In Connections, select PhonePe
  2. Click the action Create Payment Link
  3. Under Add New Connection, enter your Merchant ID, Salt Key, and Salt Index, then click Create Connection
  4. Add the variables for Amount and the Payment Link, and click Save
Request the Merchant ID from the PhonePe team — the Salt Keys are shared along with it.

Create the Stripe restricted key

  1. In Stripe, go to Developers → API Keys → Restricted Key → + Create Restricted Key and choose Building your own integration
  2. Grant Write on Payment Links and Webhook Endpoints
  3. Grant Read on Customers, Prices, and Invoices
  4. Click Create Key and copy it

Configure the Stripe connector

  1. In Connections, select Stripe
  2. Click the action Create Payment Link
  3. Under Add New Connection, enter a connection name and the API Key, then click Create Connection
  4. Fill in Product, Pricing, Price Quantity, Customer Name, Customer Phone Number, and the Payment URL variable. Click Save

HubSpot

Available on Essential and Advanced plans.

Beyond Email, HubSpot exposes a large set of optional contact properties — for example Order Date, Lead Status, and Lifecycle Stage — that you can map from flow variables.

Configure the HubSpot connector

  1. In Connections, select HubSpot (or search for it)
  2. Click the action Create or Update Contact
  3. Confirm the connection name and click Create Connection — a pop-up asks you to sign in to HubSpot (or create an account) and grant Gallabox access
  4. Click Connect beside the connection, map Email, add any optional properties, and click Save

Zoho CRM

Available on Essential and Advanced plans.
Pick the connector that matches your Zoho data center — Zoho CRM IN for a zoho.in account or Zoho CRM COM for zoho.com. Choosing the wrong one fails at the authorization step.

Custom fields you’ve defined in Zoho appear in the Custom Fields dropdown, so you can map those too.

Configure the Zoho CRM connector

  1. In Connections, select Zoho CRM IN or Zoho CRM COM to match your Zoho domain
  2. Choose an action — Create or Update Lead, Create One Lead, Dynamic Module, or Get Record
  3. Click Create Connection — sign in to Zoho (or confirm the already signed-in account) and click Accept to grant Gallabox access
  4. The connection appears under Select Existing Connection — click Connect to configure the action
  5. Map Last Name and Company, add optional and custom fields as needed, and click Save
For Dynamic Module, also select the target module (Leads, Contacts, Accounts, or Deals) before mapping fields.

Zoho Bigin

Available on Essential and Advanced plans. Pick Zoho Bigin IN or Zoho Bigin COM to match your Zoho data center.

  1. In Connections, select Zoho Bigin IN or Zoho Bigin COM (or search for it)
  2. Click the action Create Contact
  3. Name the connection and click Create Connection — sign in to Bigin and authorize the account
  4. Click Connect beside the connection, map the variable holding Last Name, add optional fields, and click Save

Pipedrive

Available on Essential and Advanced plans.

Configure the Pipedrive connector

  1. In Connections, select Pipedrive — scroll the drawer, use the search bar, or click the + on the start block
  2. Choose Create Deal or Create Lead
  3. Name the connection and click Add New Connection — a pop-up asks you to sign in to Pipedrive and continue to the app
  4. Select the connection, map the required fields, add optional ones, and click Save
Every field accepts either a static value or a variable, so you can hard-code things like Currency while mapping the rest dynamically.

Sangam CRM

Available on Essential and Advanced plans.
Before using this connector, turn on Enable API Access (or Allow External API Calls) in the Sangam CRM admin panel. Without it, the connection fails.

  1. In Connections, select Sangam (or search for it)
  2. Click the action Create Lead
  3. Under Add New Connection, enter a name, your API Key (the Sangam API Token), and your Sangam CRM domain, then click Create Connection
  4. Click Connect beside the connection, map all the mandatory fields to variables, add optional fields you’ve captured, and click Save

LeadSquared

Available on Advanced plans.

Configure the LeadSquared connector

  1. In Connections, select Leadsquared
  2. Choose one of the three actions
  3. Under Add New Connection, enter your Access Key, Secret Key, and API Host, then create the connection
  4. Select the connection under Select Existing Connection, map the required fields, and click Save

Google Sheets

Available on Essential and Advanced plans.
Create the spreadsheet with its sheet and column headers before configuring the connector — you select columns from a dropdown read off the live sheet. Sign in with a Google account that has owner access to the sheet.

Configure the Google Sheets connector

  1. In Connections, select Google Sheet
  2. Choose one of the four actions
  3. Click Connect Now to create the connection, then Save
  4. Sign in with the Google account that has owner access to the spreadsheet
  5. Under Select Existing Connection, click the connection to return to the action
  6. Select the spreadsheet from your Google Drive
  7. Map the fields, then click Save:
    • Add New Row — pick each Column name from the dropdown and set its value to a variable
    • Update Row — under Row Values, pick the column and the variable holding the existing value (this locates the row); under Update Row Values, pick the column and the variable holding the new value
    • Fetch the Row Value / Fetch the first 10 matched Row Values — set the reference column and the variable to match against, then choose which columns to read and the variables to store them in

Zoom

Available on Essential and Advanced plans.
The webinar must already exist and be upcoming in the connected Zoom account — you pick it from a dropdown. This action registers attendees; it does not create webinars or meetings. Webinar hosting requires a paid Zoom plan.

Mandatory fields: Webinar Topic (chosen from a dropdown), First Name, Last Name, and Email of the registrant — plus variables for Webinar Topic, Webinar Start Time, and Webinar Link. Optional: the registrant’s phone number and comments.

Configure the Zoom connector

  1. In Connections, select Zoom (or search for it)
  2. Click the action Add Registrant
  3. Name the connection and click Create Connection — sign in to Zoom if prompted, then authorize Gallabox
  4. Click Connect beside the connection to configure the action
  5. Pick the Webinar Topic from the dropdown, map the registrant’s First Name, Last Name, and Email, and set the variables for Webinar Topic, Start Time, and Link. Click Save
Zoom emails the joining details to the registrant after successful registration.

API Call

Available on Essential and Advanced plans. Use this when no pre-built connector exists for your tool.

Configure the API Call connector

  1. In Connections, select API Call
  2. Set the HTTP Method and URL, then add any Headers, Query Parameters, and Body
  3. If the target is HubSpot, Zoho CRM, Zoho Bigin, Razorpay, or Zoom, pick it under Authentication and select the connection — otherwise supply auth in the headers
  4. Enter Test Values and run the call to inspect the response
  5. Under Store Response in Variables, map the fields you need (or the whole response) to variables
  6. Click Save

FAQs

Yes — a single bot flow can chain as many connectors as you need, and they don’t interfere with each other. For example, a checkout flow might run:
  1. Razorpay → Create Payment Link → send it to the customer
  2. Shopify → Replace Order Tag → mark the order confirmed
  3. HubSpot → Create or Update Contact
  4. Google Sheets → Add New Row → log the transaction
Every connector node has two outputs: success (green) and failure (red). The flow follows the failure branch, so you should always connect it — otherwise the conversation stops with no reply to the customer.
Failed calls are not retried automatically. If a retry matters, build it explicitly — for example, a Delay node followed by a second attempt.
Zoho hosts accounts in separate data centers. Use Zoho CRM IN / Zoho Bigin IN for a zoho.in account and Zoho CRM COM / Zoho Bigin COM for zoho.com. Picking the wrong one fails at the authorization step. Check the domain you sign in to Zoho with if you’re unsure.
No. A connection is created once and then appears under Select Existing Connection for every connector node in every flow. Create additional connections only when you’re connecting a genuinely different account — two Shopify stores, or a sandbox and a production CRM.
Bot flows only. Sequences send messages; they can’t run connector actions. If you need to update an order or create a CRM record, use a bot flow.
