Click-to-WhatsApp (CTWA) ads are Facebook and Instagram ads with a button that opens a WhatsApp conversation directly. Instead of landing on a website, the person who clicks your ad starts a WhatsApp conversation with your business. CTWA ads can appear across Facebook Feed, Instagram Feed, Instagram Stories, and Messenger — Gallabox tracks and manages leads from both platforms. What is CTWA?

Click-to-WhatsApp (CTWA) ads are Facebook or Instagram ads with a “Send Message” button. When someone clicks the button, a WhatsApp conversation opens directly with your business — no web form, no landing page, no email required. The contact lands in your Gallabox inbox the moment they tap the button. From there, your team (or a bot) can respond immediately.

Why Use CTWA?

Higher response rates. WhatsApp conversations convert significantly better than email follow-ups or web form submissions. You’re meeting the lead where they already are. 72-hour free entry-point conversation window. When a conversation starts from a CTWA ad click, Meta does not charge a per-message fee for that conversation for 72 hours. This is a cost benefit — it lowers your cost per lead compared to standard WhatsApp Business API messaging. How Gallabox Tracks CTWA Conversations

CTWA Tagging

Whenever a customer initiates a chat by clicking on your CTWA ad:
  • A “CTWA” tag is added to that conversation — you’ll see it in both the chat list and inside the conversation.
  • Hover over the tag to see: “This conversation was initiated through the CTWA ad.”
The CTWA tag appears only for the first interaction triggered by the ad. If the conversation is resolved/closed and restarted later, the tag will disappear. This action will close the Ad Engagement Window.

The 72-Hour Ad Engagement Window

When a customer clicks your CTWA ad and starts a conversation, Meta provides a 72-hour free entry-point conversation window — Meta does not charge a per-message fee for that conversation during this period. Gallabox displays a countdown timer in the conversation so your team can respond and engage within this window. Please note:
  • The timer begins once your team responds to the customer.
  • It shows how much time is left in the free window.
  • This window is about conversation fees, not message formats — the standard 24-hour customer service window rules for free-form messaging still apply separately.

Automatic Source Tracking

If a new contact is created through a CTWA conversation, Gallabox automatically logs key details under the contact’s profile:
  • Contact Created Source: CTWA
  • Source ID: Ad ID
  • Source URL: The link from which the customer clicked
These fields appear only if your account has had at least one CTWA conversation. These fields are not editable, ensuring consistent data tracking.

Prerequisites

Before setting up CTWA, make sure you have:
  • A verified Facebook Business Manager.
  • An active Facebook Page — required for any Facebook or Instagram ad.
  • A valid Facebook Ad Account with a working payment method attached to Meta, running at least one CTWA ad — the ad must use a “Send Message” CTA linked to your WhatsApp number.
  • Gallabox WhatsApp channel connected — your WhatsApp number must already be active in Gallabox. If it isn’t, set that up first.
  • Owner or Admin access in Gallabox (or a role with the relevant permission).
  • Facebook Business Manager access — you’ll need permission to authorize the OAuth connection between your Ad Account and Gallabox.

Onboarding Checklist

Complete these steps in order:
  1. Connect your Facebook Ad Account — Go to CTX → CTX Ads in the left navigation and authorize your Ad Account via OAuth. This is a separate connection from CAPI — you need both if you want full analytics and conversion tracking.
  2. Verify your ads appear — After connecting, open CTWA Ads and confirm your active campaigns and ads are listed. If they don’t appear, check that the authorized account has access to the correct Ad Account.
  3. (Optional but recommended) Connect CAPI — Open the CAPI configuration from the CTWA section and follow the CAPI connection steps. CAPI lets you send conversion events back to Meta to improve campaign optimization.
  4. Set up the Lead event trigger in CAPI — Configure when Gallabox fires a Lead conversion event to Meta (e.g., when a contact replies to a CTWA conversation, or when a tag is applied).
  5. (Optional) Set up the Purchase event trigger — If you’re tracking transactions, configure the Purchase event trigger to fire when a purchase outcome is recorded in Gallabox.
  6. Review CTWA Leads — Open CTX → CTX Leads in the left navigation and confirm that conversations from your ads are appearing. Each row should show the contact, the ad that drove the conversation, and the current conversion state.

First, open CTWA Ads and check whether your Facebook Ad Account is connected to Gallabox. If the page is empty or shows a “Connect” prompt, complete the OAuth flow. Once connected, existing active ads should populate within a few minutes. If they still don’t appear, verify that the authorized Facebook account has access to the correct Ad Account in Meta Business Manager.
Check the following:
  1. Destination number: The phone number in your ad must be the same channel connected to Gallabox. If it points to a different number, responses won’t appear in Gallabox.
  2. Ad account permissions: Ensure Gallabox has the required permissions on your Meta Ad Account.
  3. Ad type: Confirm the ad is set up as a Click-to-WhatsApp ad, not a different ad type.
  4. User behaviour: Customers can click the ad and open WhatsApp but choose not to send a message. Check your message volume alongside your link-click count in the analytics dashboard.
Yes — these are two separate connections. The Ad Account OAuth (in CTWA Ads) connects Gallabox to your Meta Ads data so you can see campaign performance. CAPI is a separate connection that sends conversion events back to Meta. You can have the Ad Account connected without CAPI, but you won’t be sending conversion data back to Meta to optimize your campaigns. Set up CAPI if you want to close the attribution loop.
