Send nodes deliver content to the customer — text, media, buttons, lists, product catalogs, or WhatsApp-specific content. Unlike Ask nodes, Send nodes don’t wait for a reply — the flow immediately continues to the next node after delivery.

How Send Nodes Work

  1. The bot sends the message — the customer sees it in WhatsApp, Instagram, or Web Chat
  2. Delivery is confirmed — Gallabox tracks read receipts and delivery status
  3. The flow continues immediately — no waiting for a reply; the next node executes right away
Send nodes are the building blocks of every bot flow — they deliver the actual content the customer sees.

Send Node Types

Message Nodes

Send Text

Sends a plain text message. Supports variables for personalisation. Example: “Hi {{contact.first_name}}, your order #{{order_number}} has been dispatched!” Available variables:
  • {{contact.name}}, {{contact.first_name}}, {{contact.email}}, {{contact.phone}}
  • Any custom contact field you’ve created
  • Flow variables set earlier in the flow: {{delivery_date}}, {{support_topic}}

Send Media

Sends an image, audio file, video, or document. Provide a file URL or pick from your Gallabox media library. Supported formats:
  • Images: JPG, PNG, WebP (max 5MB on WhatsApp)
  • Audio: MP3, OGG (max 16MB)
  • Video: MP4 (max 16MB)
  • Documents: PDF, DOCX (max 16MB upload via Gallabox)
Example: “Here’s your invoice” → sends a PDF document with the filename as the caption

Send Location

Sends a map pin to the customer. Example: “Our store is at:” → sends a Google Maps location

WhatsApp-Specific Nodes

Send WhatsApp Template

Sends a pre-approved Meta template message. Required for any business-initiated message outside the 24-hour conversation window. Important: Template messages must be approved by Meta before use. Check your template status in Channels → WhatsApp → Templates. Example: “Your appointment is confirmed for {{1}}”{{1}} is replaced with the date variable at send time. Send Products

Sends product cards from your WhatsApp Business catalog. The customer browses and taps to buy — without leaving WhatsApp. Prerequisites: A Facebook Catalog connected to your WhatsApp Business account. Example: “Here are our featured products:” → sends a horizontal carousel of product cards with images, prices, and descriptions Learn more: WhatsApp Shop Overview

Send Collection

Sends a WhatsApp collection — a structured list of up to 10 items with a header, subtitle, and action button. Used for menus, service categories, or product categories. Example: “Here’s our service menu:” → sends a collection with sections: [Consultation] [Support] [Sales] [Returns]

Send List

Sends a WhatsApp list message — up to 10 options in a scrollable list. Each option has a title and description. Example: “Select a category:” → sends a list of product categories the customer can tap

Send Form (Essential+)

Sends a multi-field WhatsApp form. The customer fills in all fields in one go. Example: Collect booking details — name, email, phone, date, notes — all in one form submission, returned as structured data.

Send WhatsApp Payment (Essential+)

Triggers a WhatsApp Pay payment request. The customer pays without leaving the chat. Requires: A connected payment gateway (Razorpay or PayU), or WhatsApp native UPI payments. Example: “Your order total is ₹500. Tap to pay:” → sends an inline payment button that opens WhatsApp Pay

Send Reply Buttons

Sends a message with up to 3 inline reply buttons. The customer taps a button to proceed. Example: “Did this help solve your issue?”
Buttons: [Yes, thanks!] [No, I need more help] [Talk to an agent]
Note: Buttons only work inside the 24-hour conversation window. Outside the window, use a Send WhatsApp Template instead.

Voice Node

Send Voice (Advanced only)

Sends a pre-recorded audio message as a voice note. Useful for announcements, promotions, or when the customer prefers audio. Example: “New collection just dropped — tap to hear our latest offer!” → sends a voice message Requires: An audio file (MP3 or OGG) uploaded to Gallabox’s media library or a public URL.

Personalising Send Messages

Use variables to make every message feel personal — for example, {{contact.first_name}} renders as “Priya” and {{order_number}} as “ORD-12345”. Type {{ in any Send node to see the full list, or see Variables in Bot Flows.

Combining Send and Ask Nodes

Most bot flows alternate between Send (to inform/present options) and Ask (to collect input):

FAQs

Image sending failures usually mean:
  1. File too large — WhatsApp has a 5MB limit for images. Compress the image or reduce the resolution.
  2. File URL is not publicly accessible — the URL must be publicly reachable (not behind a login wall). Gallabox’s media library hosts files correctly for WhatsApp delivery. If using an external URL, make sure it starts with https://.
  3. Unsupported format — WhatsApp supports JPG, PNG, WebP for images. Try converting to JPG.
  1. Is the template approved? Go to Channels → WhatsApp → Templates. Pending templates show a status badge.
  2. Are variable names correct? Template variables must match exactly — e.g., {{1}} not {{name}}. Check the template body in Meta Business Manager.
  3. Are you within the 24-hour window? If the customer’s last message was more than 24 hours ago, you can only send templates — not free-form Send Text messages.
  4. Is the template category correct? Utility templates for confirmations; Marketing templates for promotional content.
The Send Products node displays up to 30 products from your Facebook Catalog in a carousel. If you have more products, use a Send Collection to show top-level categories first, then route to specific product flows.
Send Reply Buttons is a WhatsApp-only node — it is not supported on Instagram. On WhatsApp, it also only works inside the 24-hour conversation window; outside that window you can only send pre-approved Meta templates.
